INTRODUCTION TO
NetRMS

For years hotels
with a large portion of their room inventory committed in annual
contracts to wholesale agents, have struggled to control room
blocks. Most property Management Systems are unable to easily net
group blocks by category, track actually booked utilization of
blocks, or produce meaningful reports to be evaluated by the
management team responsible for inventory control. Many hotels use
time consuming, inadequate spreadsheet applications, depend on a few
individuals, or make critical availability and sales decisions based
on "experience".
The Rooms'
Management System has been developed to fill this costly information
gap. It manages, manipulates, and presents room inventory
information so executive staff, sales managers, as well as
reservation managers, may comprehend the data and participate in an
informed decision to critical availability questions. This is
accomplished by organizing data, day by day, agent by agent, and for
each category, in the following manner:
-
Histories
-
Room blocks
-
Annual forecast
(rooms and revenue)
-
Monthly forecast
(rooms and revenue)
-
Actual “as booked”
counts (rooms and revenue)
-
Actual “as roomed”
counts (rooms and revenue)
-
Block utilization
(based on annual, monthly, and actual “as booked” counts)
Critical 45 day
period prior to arrival (in calendar format and in addition to all
of above):
-
Agent reported sold
counts
-
Revised forecast
(rooms and revenue)
Monthly Forecast
-
Suggested forecast
of rooms and revenue created by NetRMS in minutes based on
calculations using data from the Annual Forecast and the
previous 45 days actual counts. User is then able to easily
make any adjustments necessary to produce an accurate final
forecast.
Annual Forecast
-
Suggested forecast
of rooms and revenue created by NetRMS in minutes based on
calculations using data from the previous years actual counts,
ratio of rate fluctuations of new years' established rates, and
user defined fluctuations of individual agents. User is then
able to make adjustments prior to finalizing the Annual
Forecast.
As you may have
noticed, the NetRMS goes far beyond simply tracking years of day by
day, agent by agent data. It uses this huge source of data in
calculations developed by experienced yield managers to create a
solid foundation for annual, monthly, and revised monthly forecast.
Not only does this greatly increase accuracy, it saves an immense
amount of managements' time. Once NetRMS creates a suggested
forecast, the information is presented in an easy to comprehend,
color coded, familiar monthly calendar format. The forecasted data
may then be quickly adjusted by the user to produce accurate final
results.
To quickly and
efficiently manage this massive amount of valuable data, NetRMS
operates in all Windows environments making it user friendly, and
taking full advantage of the latest web based technology. Full
mouse support and many creative options make data entry far easier
and faster than generic applications. The user may view different
agents, change between months, or years, with a simple "click" of
the mouse button. Careful attention was given to screen designs and
reports to make sure the presentation of information is clear and
concise.
Some of the other
convenient features include “booking source” screens which contain
all pertinent information from the agents annual contract agreement,
fax, phone, contacts, blocks, rates, billing info, etc. NetRMS also
provides the hotel with the ability to custom group agents into
major markets segments. This custom grouping may be created as far
as five levels deep, and individual agents may be moved around
between these major markets without affecting their own histories
and forecast. Advanced reporting capabilities allow users to create
custom templates of monthly reports to meet their specific needs.
Many other features are included which make the Rooms’ Management
System the most flexible, user friendly, effective forecasting and
reporting tool available to the hospitality industry.
